Business problem
There are hundreds of tools and every ad says 'you must have this'. Choosing a stack at the start is the most common path to failure: you pay for 8 tools, integrate half, and the process is still manual. Or the opposite: you're afraid to choose and stay with an Excel spreadsheet while automation would save 2h a week.
Proven method
The stack in 6 layers:
- AI: ChatGPT/Claude/Gemini (content generation, analysis, classification) — pick 1 main one + the API for integration,
- AUTOMATION: n8n (open source, self-hosted, powerful — if you know how to configure), Make (visual, good price-to-capability ratio), Zapier (the simplest, the most expensive at scale),
- DATA: Google Sheets (start, cheap, easy to debug), Airtable (relations, views, formulas), a database (Postgres — at scale),
- CRM: HubSpot (free start, broad), Pipedrive (a simple pipeline), Attio (modern, API-first),
- COMMUNICATION: Gmail/Outlook (sending, but deliverability requires a dedicated tool like Instantly/Smartlead), Slack (alerts, approvals),
- LEAD DATA: Apollo (contacts + enrichment), Clay (enrichment + research at scale), Hunter (email verification). CHOICE RULES:
- start with a Minimum Viable Stack (Sheets + Make + ChatGPT API + the CRM you already have),
- don't buy a tool before testing it on a manual process,
- the automation platform (Make/n8n) is the heart — pick one and learn it,
- cost = time saved, not the tool's price.
Market example
- BAD
- Manual, inconsistent execution or chaotic automation lacking data validation.
- GOOD
- A minimal stack for a solo SDR: Google Sheets (list), Make (workflow), OpenAI API (AI), Gmail (sending through an email tool), HubSpot Free (CRM). A full stack at scale: Postgres (data), n8n self-hosted (automation), Clay (enrichment), Instantly (sending with deliverability), Attio (CRM), Slack (approvals). The difference: minimum = 1 day of setup, full = 2-3 weeks. You start with the minimum.
Ready-to-use prompt
You are a stack architect. Context: I'm automating [PROCESS — e.g. prospecting]. Budget: [X] /month. Skills: [MAKE/N8N/ZAPIER? API?]. I already have: [CRM/TOOLS]. Scale: [LEADS/MONTH]. Task: Design my stack: 1. A Minimum Viable Stack (5-6 tools) — AI, automation, data, CRM, communication, lead data + an estimated cost 2. What instead of what (alternatives by budget/scale) 3. Which automation platform to choose (Make/n8n/Zapier) + justification for my level 4. What NOT to buy at the start (traps: tools that duplicate functions) 5. Integrations: which tools MUST connect (a schema) 6. A migration plan: how to move from a spreadsheet to the stack in 30 days Format: 6 sections.

ALTERNATYWNE SCENARIUSZE
Variations & alternative scenarios
Zero-budget version: free tiers (Sheets, Zapier free, ChatGPT, HubSpot free).
Scale version: a stack with n8n/Postgres/a dedicated email tool.
Practical exercise
List your current stack (the tools you use). Design a Minimum Viable Stack (5-6 tools) with costs. Pick an automation platform (Make/n8n/Zapier) and justify the choice.
